This platform will be used for registration, full-paper submission, payment of fees, and download of invoices and certificates.

  • For each accepted paper, story, workshop and exhibition contribution, at least one author (presenter) is required to participate in the conference in person, paying the applicable registration fee. 

  • The Dementia Lab conference is fully in-presence. Online participation is not possible. 

  • After the Early bird period, the registration platform automatically assumes the Regular Fee values.

The conference registration fees include:

  • Access to all keynote presentations, paper sessions, workshops (registration is mandatory), stories presentations and the exhibition (13th and 14th March 2025). 

  • Lunch and two coffee breaks, on the conference days (13th and 14th March 2025).

  • Conference kit.

  • Full paper authors: Open Access and publication fees.

  • Exhibition authors: spot and support for the exhibition set up; labelling.

  • Workshop authors: basic workshop material (pens, paper, post-its…).

  • Students: access to PhD colloquium (12th March), including lunch and coffee breaks, if selected (limited vacancies).

The registration fee does not include any insurance.

For students:

  • Students are required to upload an updated proof of enrollment on the platform.

  • Students participating in the PhD Day (limited vacancies, subject to selection): access to PhD Day (12th March), including lunch and coffee breaks.

Important notes

  • On the registration platform, you will find the different payment methods available for the Conference. Please note that you are responsible for filling in the details for the invoice (confirm with your entity if you need to enter the VAT number and/or requisition/purchase number). Once you have filled in the invoice details, a proforma invoice will be available, if required. After the payment, your receipt will also be available on the platform.

  • Cancellations must be made via e-mail to Virgínia Lopes.

    For cancelling registrations, the following refund rules apply:

    • Until 15th December, there is a refund of 75% of the registration fee minus the processing fee (if any).

    • After 16th December, there is a refund of 50% of the registration fee minus the processing fee (if any).

    • After 6th January there is no fee refund.

  • One week after the end of the conference, your Certificate will be available on the registration platform.

  • The registration fee does not include personal or property insurance and the Dementia Lab Organisation will not assume any responsibility for injury or damage to person or property throughout the event. Participants are therefore advised to make their own insurance arrangements as pleased (e.g., travel, valuable items, medical assistance, etc.) before travelling to the conference venue. If the conference is postponed or cancelled in its whole due to force majeure events, or due to circumstances not imputable to wrongful intent or gross negligence from the Dementia Lab Conference Organisation, the participants cannot hold the Organisation liable for any damages, costs or losses incurred, such as (but not limited to) travel and accommodation costs or other indirect losses and consequential damages.
